How to Digitize Your Samaj in 4 Simple Steps

How to Digitize Your Samaj in 4 Simple Steps

Going digital sounds like a big project for a community that has run on registers and phone calls for decades. It doesn't have to be. With the right plan — and the right platform — most communities can be up and running in days, not months.

Here's a simple, four-step approach we recommend to community leaders using Samaj.app.

Before you start: gather what you already have

You don't need perfect data to begin. Collect what exists today:

  • Member and family lists from registers or Excel sheets
  • Names of current committee members and their responsibilities
  • Upcoming events and recurring activities
  • How donations and membership fees are collected right now

Even a rough spreadsheet is a great starting point — you can clean it up as members update their own profiles later.

Step 1: Create your community portal

Sign up and create your community's portal. Samaj.app gives every community its own address — for example, yoursamaj.samaj.app — so members always know where to find you.

Tip: Choose a short, recognizable name. It will appear on invitations, receipts and your public page.

Step 2: Add your committee and assign roles

Invite your core team — president, secretary, treasurer and other office-bearers — and give each person a role. Samaj.app's role-based access means:

  • The treasurer can manage donations and accounts.
  • The secretary can send announcements and manage events.
  • Sensitive information stays visible only to the people who need it.

Tip: Start with a small committee. You can add more people and fine-tune permissions as you go.

Step 3: Invite your members

There are two easy ways to bring members in:

  • Bulk upload your existing member list.
  • Share an invite link in your existing WhatsApp groups so families can join and fill in their own details.

Once members are in, they can update their profiles, add family members and appear in the searchable directory — filtered by location, profession or blood group.

Tip: Ask a few respected elders and active young members to join first. Their participation encourages everyone else.

Step 4: Start managing — and engaging

Your community is now live. From here you can:

  • Publish events with RSVPs, tickets and QR-code check-in
  • Collect donations online with instant receipts and transparent reports
  • Broadcast news over SMS and WhatsApp
  • Share photos and videos from every gathering in the gallery
  • Run a secure matrimonial service within your community

Your public website also gives your samaj a proper online presence to share its history, news and upcoming events.

Common questions from community leaders

Will older members be able to use it? Yes. Members can be added by the committee, and announcements still reach everyone through familiar channels like SMS and WhatsApp.

Is our data safe? Samaj.app encrypts data in transit and at rest, keeps each community's data isolated, runs daily backups, and never sells or shares member data.

Do we need technical staff? No. The platform is designed for committee members, not IT teams.
